INTRODUCTION

This essay is an overview of  the organization and administration of law office, the relationship between the staff of the law firm, and their interaction with the clients. The purpose of the law firm is that a lawyer who calls at the client’s house amount to a violation of Rule 22 OF the Rules of Professional Conduct which requires legal practitioners to operate from a law office.


I was posted to AGBOM JOHN & CO. CHAMBER at No. 10 Zik’s Avenue Ikeja, Lagos State. It is a sole proprietorship established by Bar. Agbom John. The law office is a core litigation firm. The principal employed about 5 other legal practitioners as fee earners. The firm equally have 5 paralegal staff consisting of Secretary, Accountant, driver, receptionist and a cleaner.

The principal administers the law firm and assigns duties to other litigation officers.
The law office situates in an existing building Consist of reception room, practitioners’ room, paralegal staff room, library, convenience room among others. It is well structured with modern law office equipment, machines, internet facilities and supplies comprising of computer, generator, vehicle, letterheads and legal forms for efficient operation and administration.

Trial preparation: the law firm has an effective time management system. The litigation officers assemble periodically in the conference room to analyze cases in preparation for trial. During the meeting, reports on cases handled are given, new cases are briefed and assigned to lawyers.

The law office has a reminder system in a form chamber diary which reminds the chamber and to each litigation officers of the daily activities, courts, parties, adjournment, the dates, time and procedure in which such matters are to be carried out. The chamber diary has the name of an individual lawyer assigned to the case, the judge handling the matter, the suit number, facts of the case, records of the previous sitting.

Filing Management Retention and destruction of files: The law office has its custom-made files, and the names of the parties in the matter are marked on each file. The files are arranged in large cabinets in an orderly and coordinated manner to ensure easy identification. It has protocols for how long to hold onto inactive files and how to dispose of the file after completion of the matter, that is, return it to the client, destroy it, or hold onto it for another set number of years.

 Conclusion

 Law office management and organization is a requirement for effective and efficient practice of law. The management and organization of the chamber that I was posted for the externship program is in tune with the modern law office administration.
